Retention, Expiration, and Holds

How long are things such as transaction history, general ledger, check history, and credit report data retained?

For CU*Answers online clients, effective in March 2017 the standard online retention is 12 months for basic savings and checking accounts, and 48 months for all certificates, IRAs (shares and CDs), HSA share and checking accounts, club accounts (such as vacation, holiday, Christmas), tax escrows, and all loans. Prior to March 2017, data retention was 6 months for savings/checking, and 24 months for other member transaction history. Note that when this data is purged, it also removes the additional transaction description data stored in the separate transaction description (TRDESC) file.

EOM libraries are retained for 6 months. GL Trans History and Check Register is retained 24 months. Credit report details are retained for 60 days, or for the life of the loan, while Credit Report Summary Data is retained for 6 months. Member statements are currently retained for 18 months online. This is not a comprehensive list of all member or transaction data available in the core. Examples of other data include loan application records, OTB account records, etc.

On occasion we have made special arrangements for clients who wish to retain additional history online. Contact the Asterisk Intelligence Team if you would like a price quote for a change to your history retention settings.

How long are cancelled check images retained in “It’s Me 247” online banking?

If your check processor is CU*Check Item Processing, check images are retained for the same period as transaction history. Other check processors may have a different retention schedule.

Per Regulation CC, check holds are based on business day. Does CBX check hold feature only count business days in its calculation?

Credit unions have the option to have teller check holds based on business or calendar days. Use Tool #849 Automated Holds Configuration to update how the system calculates holds.

If you select to have the system calculate only business days, you must also launch Tool #243 Configure CU Non-Business Days which allows a credit union to indicate what processing days they follow (Sunday through Saturday), or whether the credit union observes all standard Federal holidays, and/or to configure special non-business days. These will be excluded when calculating the release date on a teller check hold.

Can online banking passwords be set to expire?

Passwords do not expire according to a set period (such as every 30 days). However, you can activate a feature called “non-use expiration” for your online banking passwords. This is a feature that automatically locks a person from logging in to online banking if they have not logged in during the past 90 (or 60, or whatever) days. We recommend a setting of no more than 90 days, although 60 or even 30 days is even better.

Remember that your most vulnerable accounts are those where members aren’t logging in regularly. If a bad actor steals a member’s identity and manages to get their login information, members who have never logged in to online banking to set their own, personal password are vulnerable. By reducing the time their password is usable, you help reduce the risk of someone gaining inappropriate access to their accounts.

How long is the timeout setting for my CBX workstation session and for printer sessions?

Currently the timeout parameter for a CBX session connected to the iSeries is set to 90 minutes. This means that after 90 minutes of inactivity, the session will be logged off automatically. This setting reflects the need to balance the system resources that are required to handle session timeouts across all workstations for all online clients. The shorter the period, the more users hit a session timeout at the same time, and that can have a noticeable impact on system efficiency. In addition, given how end-users use CBX for research and analysis, a timeout setting like this provides a better user experience to our clients.

Will passwords expire in CTE?

Username passwords used to log in to the core will expire with the same frequency as all other user IDs and can be changed in the same way via Tool #199 Change User Name Login Password.

Employee ID passwords will be governed by the same policy that the credit union uses for their own employees, as of the time when the custom training environment files are originally set up.
